Privacy Policy
Last updated: 9 October 2026
EventSpace ("we", "us") runs an event platform made up of a participant app and website, an organizer app (EventSpace Studio) and the tools used to check people in at events. This policy explains what information we collect, why, who it is shared with, and the choices you have. It applies to the EventSpace participant app for Android, the EventSpace websites, and EventSpace Studio.
1. Information we collect
| Account details | Your name, email address, phone number, college or organization and department, and a profile photo if you add one. If you sign in with Google, we receive your name, email address and profile picture from Google. |
|---|---|
| Event registrations | The details you enter when you register for an event, which can include answers to questions set by the organizer, team members' details, and documents such as an ID proof when an organizer asks for one. Check-in records (for example when your QR pass is scanned) are also stored. |
| Payments | Paid events are processed by Razorpay. We receive the payment status and reference, and not your card, UPI or bank credentials. |
| Community and activity | Posts, comments, likes, follows and profile details you add to the Community section, quiz responses, feedback you submit, and certificates issued to you. |
| Device and usage data | Device type, operating system, app version, a notification token so we can send you event updates, error information, and the advertising identifier on your device when ads are shown (see section 4). |
2. How we use information
- To create your account, register you for events and issue your pass and certificates.
- To share your registration details with the organizer of the event you register for, so they can run the event.
- To send confirmations, reminders and event updates by email and notification.
- To process payments and refunds, prevent fraud and keep the service secure.
- To fix problems and improve the apps.
- To show advertising in the participant app, which helps pay for the service.
3. Who we share information with
- Event organizers receive the details of people who register for their events.
- Service providers that run the platform for us: Google Firebase (sign-in, database, file storage, messaging and cloud functions), Razorpay (payments), and our email delivery provider.
- Advertising partners, as described below.
- Authorities where the law requires it.
We do not sell your personal information.
4. Advertising
The participant app shows ads provided by Google (Google AdMob in the Android app and Google AdSense on our website). Google and its partners may use your device's advertising identifier, cookies or similar technologies to show and measure ads and, where permitted, to personalize them. Ads are labelled "Advertisement" and never appear on payment, ticket, sign-in, quiz or certificate screens.
- Where the law requires it (for example in the European Economic Area, the UK and some US states), the app asks for your consent before personalized ads, and you can change your choice later under Profile → Settings → Ad privacy choices.
- On Android you can reset your advertising ID or opt out of ad personalization in your device's Settings → Privacy → Ads.
- To learn how Google uses data from sites and apps that use its services, see policies.google.com/technologies/partner-sites.
5. How long we keep information
We keep your information while your account is active and for as long as needed to run events, keep payment and certificate records, and meet legal obligations. When your account is deleted we remove or anonymize your personal information, except records we must keep by law or for dispute and fraud prevention.
6. Your choices and rights
- You can view and edit your profile in the app at any time.
- Delete your account: use Profile → Settings → Account Security & Privacy in the participant app, or email us at the address below. A deletion may be held back while you still have upcoming event registrations.
- You can ask us for a copy of your information, to correct it, or to withdraw consent, by emailing us.
- You can turn off notifications in your device settings.
If you are in India, you have the rights described in the Digital Personal Data Protection Act, 2023. If you are in the EEA or UK, you have the rights described in the GDPR. We will respond to requests within a reasonable time.
7. Security
Data is stored with Google Firebase and sent over encrypted connections. Access to personal data is limited to the organizer of your event and to the people who operate the service. No system is perfectly secure, so we cannot guarantee absolute security.
8. Children
EventSpace is meant for college and adult audiences and is not directed at children under 13. If you believe a child has given us personal information, contact us and we will delete it.
9. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed, and we will notify you in the app for significant changes.
